Theatre Liaison Task List

Welcome to your Task List! The Sudbury Savoyards Task Lists are designed to be used as a guideline for how you can successfully complete your job in the current production. The task list is divided into five sections: In order to keep this task list current and helpful, please edit it as you see fit. You will be asked to turn in your marked-up copy at the Debriefing Meeting. You can also send any changes electronically by clicking here or the link at the top of this page.

The Theater Liaison arranges the theater rental and maintains good relationships with key people associated with the theater.

Task Details

Get Insurance Certificate

An insurance certificate of liability (required by LSRHS and probably most others) must be submitted with the performance space application. This may be obtained from the SUMC Trustee responsible for insurance. Contact the Church Liaison or the Church Office to find out who this is and obtain the certificate. Include a letter from the Church office verifying that the Savoyards are covered under the Church's policy.

Theatre Space Application-Draft

Prepare application for performance space and distribute it for review. Ensure that the music department's needs are addressed, specifically in the areas of music stands and chairs, percussion instruments, and use of the music room. Try to ensure that reasonable changing areas and makeup areas will be provided. Remember to include cafeteria use for the Monster Sunday dinner. The rental period has been mandated by the school to be the week of February school vacation and the week following.

Submit Theatre Space Application

Submit application for performance space and send copies to Board of Trustees, Producer, Second Trombone, and Music Director.

Confirm Theatre Space

Written confirmation of the agreement for performance space should have been received by now.

Verify School has received insurance certificate

The insurance certificate and a letter from the church stating that the Savoyards are covered by the church insurance were submitted with the space application. However, now is a good time to check with the school to make sure that copies are still on file.

Reserve sign at the school

Contact the school office staff and reserve space on the sign at the school for all the days of the show and as many days prior to the show as they will allow. We make a backup wooden sign anyway in case something goes wrong with the school.

Attend Debriefing Meeting

The Producer is responsible for setting for scheduling the Debriefing session, generally held within a month of the show closing. The meeting is to go over the production, focusing on areas of great success and areas which need significant improvement. The Stage Director should plan on attending this meeting to contribute input and hear feedback.

Tasks that require your input, but are the responsibility of others

Task Description Timeframe
Refreshments at school Work with the Social Director to ensure all school rules regarding food and drink during rehearsals and performances (where and what is allowed/not allowed) are understood and followed by all cast/crew members. 2 weeks before Monster Sunday (see Calendar for exact date) to ensure information is passed along to the cast/crew.
