Task List Manager Task List

Welcome to your Task List! The Sudbury Savoyards Task Lists are designed to be used as a guideline for how you can successfully complete your job in the current production. The task list is divided into five sections:
- General Information - fun facts to know/Background Information
- Quick List - a quick list of all tasks that you are responsible for (these may require input from others). Clicking on a task will take you to a more detailed description of that task.
- Task Details - detailed information on each task.
- Tasks assigned to others, but require your input. The person responsible will be named and a link provided to their task list for convenience.
- Reference Documents - forms, documents that have been used in the past. You may find them useful.
In order to keep this task list current and helpful, please edit it as you see fit. You will be asked to turn in your marked-up copy at the Debriefing Meeting. You can also send any changes electronically by clicking here or the link at the top of this page.
General Information
- The Task List Manager maintains all the documents associated with the company's task lists.
- These are generally updated at the end of a production from comments/additions/deletions from the production/technical/artistic staff, though changes can be made at any time.
- Along with the task lists, this person manages the document library on the website - any associated documents that people "donate" to the organization. You must work closely with the Webmaster to make sure the correct version/information is being presented on the website.
- The Task List Manager also maintains the year's calendar.

Task Details
Update Task Lists
Take all input from production/technical/artistic staff and update the existing task lists. Make sure that any inter-related tasks are updated in all appropriate places. This can be determined by seeing if other positions are mentioned in the task. In the case of conflicting changes, contact both parties and make the best determination. If there are still questions, go to the head of the appropriate department, either the Tech Director, the Producer, or the Chairman.
All updates should be completed by July 1 so the most up-to-date information is available for the next task-holder. Recruiting for the spring show begins in July.

Update Calendar
Update the yearly calendar on the website with the new dates. The events stay constant from year to year, but the actual dates will change. See the current Calendar as an example. The new dates can be obtained from different sources:
Board meeting Dates - Secretary or Chairman
Production dates - Producer
Audition/Rehearsal dates - Stage Director

Attend Debriefing Meeting
The Producer is responsible for setting for scheduling the Debriefing session, generally held within a month of the show closing. The meeting is to go over the production, focusing on areas of great success and areas which need significant improvement.

Work with the Graphic Designer to produce the show "logo". This is used on all advertising, tee-shirts/sweat shirts, tickets, playbill cover, etc. Graphic should give some indication of the stage director's artistic vision. |
